RegencyCX is a B2B customer intelligence platform provided by e-Regency Advisory LLC. This Privacy Notice explains how we collect, use, disclose, and protect personal and business data when you access RegencyCX as a workspace administrator, team member, or trial user. By using the Service, you acknowledge this Notice.
1. Who This Notice Covers
This Notice applies to all users of RegencyCX, including administrators, customer success professionals, executives, and any individuals whose data is processed within a RegencyCX workspace.
2. Data We Collect
Account and profile data: Name, business email address, role, organization name, tenant identifier, and authentication credentials.
Customer data you provide: Account records, contact information, usage metrics, survey responses, support ticket data, and any other business data your organization imports or connects to RegencyCX.
Usage and operational data: Log data, feature usage, session activity, import job records, audit logs, connector configuration metadata, and API access patterns.
Billing data: Processed by Stripe. We receive limited billing-related metadata (customer ID, subscription status, plan tier) but do not store full payment card details.
Communications: Support inquiries, advisory requests, and feedback you submit through the platform or email.
3. How We Use Data
- Deliver and operate the RegencyCX platform and its AI-powered features.
- Generate health scores, signals, recommendations, and executive reports within your tenant.
- Maintain tenant-scoped data isolation and access controls.
- Provide billing, customer support, and account management services.
- Detect fraud, security threats, and misuse of the platform.
- Improve the Service using aggregated, de-identified usage patterns — never using your Customer Data to train models for other customers without explicit written consent.
- Send transactional and product communications relevant to your account.
4. AI and Automated Processing
How AI processes your data:
- AI models analyze Customer Data to produce signals, health scores, and recommendations within your isolated workspace.
- AI outputs are generated on-demand and are scoped strictly to your tenant's data.
- We do not use Customer Data submitted by one tenant to train models that serve other tenants.
- AI outputs are probabilistic estimates intended to support human decision-making — they are not definitive determinations about individuals or companies.
- Where AI recommendations affect people (e.g., engagement actions), human review is required per our Terms of Service.
5. Data Sharing and Disclosure
We do not sell your personal data. We may share data with:
- Service providers: Hosting, infrastructure, analytics, and payment processors who operate under data processing agreements.
- AI providers: Large language model providers used to generate reports and recommendations, subject to data processing agreements and confidentiality obligations.
- Legal requirements: If required by law, court order, or to protect the rights and safety of e-Regency and its users.
- Business transfers: In the event of a merger, acquisition, or sale of assets, with appropriate data protection obligations.
6. Data Retention
- Active workspace data is retained for the duration of your subscription.
- Upon account termination, data is retained for 30 days and then deleted, unless legal obligations require longer retention.
- Audit logs may be retained for up to 3 years for security and compliance purposes.
- You may request earlier deletion by contacting privacy@e-regency.com.
7. Your Rights
Depending on your location, you may have the following rights:
- Access: Request a copy of personal data we hold about you.
- Correction: Request correction of inaccurate data.
- Deletion: Request deletion of your personal data, subject to legal retention obligations.
- Portability: Request your data in a portable format.
- Objection: Object to certain processing, including direct marketing.
- CCPA: California residents may exercise rights under the California Consumer Privacy Act, including the right to know, delete, and opt out of sale (we do not sell data).
- GDPR: EEA users may exercise rights under the General Data Protection Regulation.

8. Security
We use industry-standard technical and organizational measures to protect your data, including encryption in transit (TLS) and at rest, role-based access controls, tenant data isolation, and audit logging. See our Security page for full details.
9. Cookies and Tracking
RegencyCX uses session cookies for authentication and functional cookies for preferences. We do not use third-party advertising cookies. Analytics tools may collect anonymized usage data to help us improve the Service.
10. International Transfers
RegencyCX is operated from the United States. If you access the Service from outside the US, your data may be transferred to and processed in the US. We rely on standard contractual clauses and other appropriate safeguards for international transfers.
11. Children
RegencyCX is designed exclusively for business use and is not intended for individuals under the age of 18. We do not knowingly collect data from minors.
12. Changes to This Notice
We may update this Privacy Notice. We will notify you of material changes by email or in-app notice at least 14 days before they take effect. Continued use of the Service constitutes acceptance of the updated Notice.
